The Challenge
The client relied on multiple multigenerational systems and manual input processes to manage licenses, track historical license assignments, and handle Limited Liability Company (LLC) information and location details.
The multigenerational systems lacked a role-based access control mechanism. The lack of an access control feature exposed sensitive license, LLC and location data to unauthorized users.
Employees had to manually input license data and records on the multigenerational systems. These manual operations led to frequent data inconsistencies, increased human errors, and reduced efficiency.
Business users had to rely on external tools and paper-based processes to manage contracts, signatures, and other important documents. These insecure tools and manual processes complicated compliance and documentation operations significantly.
The current system was unstructured for license assignment and tracking. These disorganized license management processes resulted in inefficient assignments and inaccurate record-keeping.
The multigenerational systems comprised a decentralized storage solution that hindered consolidating PDF forms and related attachments. This resulted in time-consuming data retrieval and misplaced records.
The client failed to take timely action against license renewals, expirations, and critical events. These untimely actions increased compliance risks and penalty-related overheads.

Application Development
The Programmers.ai team developed a customized PowerApps Canvas application. The goal was to help business users manage licenses, track assignments, and handle LLC members along with their locations from a single platform.
Access Control Implementation
The team integrated a role-based access control mechanism with the newly developed application. The mechanism would allow admins to have full control over sensitive data while users could enter data and digital signatures.
Data Entry Automation
They integrated Microsoft Power Automate Flows so that business users could convert data entered on the application into PDF forms automatically by leveraging the Encodian connector.
Signature Capture Feature Integration
The team added a new feature to the application that captured and securely stored signatures in Azure Blob Storage. This new feature and the centralized storage facility enabled real-time signature capture, storage, and retrieval.
Questionnaire Functionality Incorporation
The Programmers.ai team implemented a questionnaire functionality in the application. This feature would allow business users to facilitate license assignments and track license usage.
Document Consolidation
The team used the Microsoft Power Automate Flows so that users could attach PDFs and related documents on corresponding questionnaires using the Encodian connector before storing them in Azure Blob Storage.
